Working with Templates

Learn how to create and use custom templates with QuoteScope and Google Sheets

Overview

QuoteScope works with Google Sheets, allowing you to leverage Google's built-in template functionality. By creating custom templates, you can standardize quotes across your organization, saving time and ensuring consistency.

Creating Custom Templates

There are two ways to create and use templates with QuoteScope, both via Google Sheets:

If you have a Google Workspace Business account, you can create official templates that appear in your organization's template gallery:

  1. Create your base template:

    • Open a new Google Sheet
    • Use QuoteScope to set up a quote
    • Add commonly used items or features
    • Fill in any standard business information
  2. Submit to your organization's template gallery:

  3. Use your template:

    • When creating a new spreadsheet, select your template from the template gallery
    • The sheet will be pre-populated with your QuoteScope setup
    • Customize as needed for each client

Method 2: Manual Template Creation (For Personal or Free Accounts)

If you don't have access to the business template gallery, you can still create and use templates:

  1. Create your base template:

    • Open a new Google Sheet
    • Use QuoteScope to set up a quote as you normally would
    • Add your standard items and features
  2. Create a template link:

    • In your sheet's URL, replace /edit?gid=123... with /template/preview
    • For example:
      • Original: https://docs.google.com/spreadsheets/d/1ABC123/edit?gid=0
      • Template: https://docs.google.com/spreadsheets/d/1ABC123/template/preview
  3. Save for easy access:

    • Bookmark the template URL
    • Consider creating a list of template links in a shared document for your team
  4. Use your template:

    • Open the template URL
    • Click "Use Template"
    • A new copy will be created with all your QuoteScope setup intact

Template Ideas

Consider creating templates for different scenarios:

  • Standard service quotes with your most common offerings
  • Industry-specific quotes with specialized terminology
  • Departmental templates customized for different teams
  • Seasonal promotion templates with special pricing structures

Best Practices

  1. Include clear sections to make templates easy to customize
  2. Add placeholder text to indicate where custom information should be added
  3. Document any special formulas or structures in comments
  4. Date your templates and create a version system for tracking changes
  5. Avoid hardcoding information that frequently changes
